Asgent Announces the Release of M@gicPolicyCoSMO Personal Information Management System Edition

【Issues with providing protection for personal information】

Seven years following complete implementation of the Act on the Protection of Personal Information (PIPA), 12,800 corporations currently have obtained the Privacy Mark that signifies they have systems in place to appropriately handle personal information. Also, the number of corporations and organizations requiring acquisition of the Privacy Mark for conditions of trade or tender are increasing, effectively making the Privacy Mark a necessity.

However, many administrators in organizations with the Privacy Mark still rely on Excel etc. to manage personal information asset ledgers, educational training records etc., which in turn is a major issue because this management requires a lot of time and work on behalf of the administrator.

【M@gicPolicyCoSMO PIMS Edition】

“M@gicPolicyCoSMO” was developed as a tool to streamline the PDCA (Plan, Do, Check, Act) cycle in ISMS and risk assessment and analysis of information assets. It is currently implemented and utilized by over 230 organizations as an ISMS establishment and management tool covering all phases of the PDCA cycle in many varied industries including major consumer electronics vendors, telecommunication providers and financial institutions.

The latest edition of M@gicPolicyCoSMO, “M@gicPolicyCoSMO PIMS Edition” now supports JIS Q 15001 (Personal Information Management System). It is now possible to unify management of all records for educational training, internal audits, revisions by representative etc. as well as creation of personal information asset ledgers and risk assessment sheets that are essential for obtaining and renewing the Privacy Mark. Compared with traditional ledger management by Excel, this cuts the administrator workload by up to 75%.

Personal Information Asset Ledger
M@gicPolicyCoSMO has the attributes and classifications necessary for creating a ledger preinstalled, which makes it easy to create an asset ledger. Industry-specific classification items can also be added when needed. Data import/export is supported, enabling block registration to databases and unified maintenance, which in turn reduces workload.
Risk Analysis Sheet
Risks and risk countermeasures associated with the personal information lifecycle（Acquisition - Utilization - Storage - Disposal）are included as templates within the software and associable, enabling easy creation by simply adding internal regulations（procedures）for the company.
Educational Training Records
Employee training can be performed by periodic personal information protection tests using the testing functionality within M@gicPolicyCoSMO. All test results are stored as logs and can be used as training records.
Internal Audit Records
M@gicPolicyCoSMO has preinstalled internal audit items. The administrator can maintain a record of audits by using the M@gicPolicyCoSMO to perform internal audits. Also, items required for onsite reviews are included in the internal audit items so daily or pre-review checks can be performed to confirm the status of compliance.
Revision by Representative Records
Revision requirements for performing revision of the Personal Information Management System by representatives are displayed as templates. It is possible to create a comprehensive revision by representative record by revising each item in order and inputting the result of each revision.

M@gicPolicyCoSMO stores all of the records above in a database, enabling smooth transition between administrators in case of transfer or change for other reasons.
